Clinician workspace privacy notice

Account and workspace information
We process your name, email, authentication and session information, clinician/clinic branding, saved exercise guides, subscription status, and operational usage records to provide the service. Use the recipient email field for guide delivery; keep identifiable patient information out of guides and instructions. Authentication cookies are used to keep you signed in.
Service providers
Convex and Better Auth support accounts and sessions. Neon Postgres stores application records. Vercel hosts the application and public exercise images. Stripe processes payments; PT365 stores customer and subscription references rather than card numbers. Resend delivers account emails and guide copies to the recipient address you enter. Enabled AI features use OpenAI or the configured AI gateway for catalog-based suggestions.
Exercise guides and AI
Saved guides include exercise selections, dosage, instructions, and branding. Emailed guides retain the recipient email address and may also retain the generated PDF for delivery retries and later download. Pro AI receives structured exercise context and catalog candidates; do not enter patient information in any free-text field. Public exercise illustrations are accessible through public image URLs.
Security and account requests
Access to guides is restricted to their account owner. We use operational records to maintain availability and investigate abuse. For access, correction, export, deletion, retention, or security questions, contact HEP@physicaltherapy365.com from your account address. We may need to verify your identity and retain records needed for billing, security, or applicable obligations.
Separate patient-service inquiries
The public Physical Therapy 365 appointment inquiry form is a separate healthcare-service contact flow. It requests contact details and sends them to the clinic. This notice describes the clinician exercise workspace; do not use its guides or support messages to submit patient records.
